How to update and track Goals

Once a Goal has been approved and moved into Current status, it's possible to update and keep track of it using a variety of features. 



Goal Status


A Goal owner is the person identified for tracking progress on a Goal once it has been approved from the start date to the expiry date.  


The Goal itself does not change but the Goal Status will start flagged as Not Started and move to In Progress as soon as at least one Key Result has been updated. 


The percentage complete shown on the Goals detail page is computed from the progress made on all of the associated Key Results - it cannot be manually set. From there the Goal should move to Completed unless it either gets flagged as Blocked (meaning it will not reach completion) or At Risk which is normally used to escalate the Goal for management attention.  





Key Results


Key Results are the measures chosen to monitor progress towards successful delivery of the Goal.  Each Key Result will have a base value and a target value, with the current value being the latest value for the Key Result recorded.  Typically these are tracked in numeric units, currency or percentage complete, or potentially a boolean Yes/No for Complete/Incomplete.  These measures are established when the Goal is authored and cannot be changed without the Goal being sent back to Draft state.





Typically Key Results will be updated at a regular frequency, often in (or immediately after) one to one meetings between an employee and their manager, perhaps weekly or monthly.  All changes are documented on the Timeline.


 


Goals progress over time


Every time you update a Key Result, this will also update the Goal Progress over time chart. Each line is a Key Result, with the grey line being the average of all Key Results. The more often you update your Key Results, the more populated and accurate the graph will become. 



Check-ins


Check-ins (via the Check-in button) provide a simple way to log progress, and these can be done at any time, during, before or after review meetings.   Check-ins by the Owner can also be requested with a simple button click.  All Check-ins will update the timeline to track the history of the Goal over time.  



Shout-outs



Any collaborator on a Goal can be recognized for special praise by using the Shout-out medal button.  Not only will this show on the timeline but it will also be visible on the contributions leaderboard to highlight their efforts.




Tasks


Tasks provide a trackable “to-do” list which can detail the actions being taken to deliver the Key Result measures.  Tasks are created and updated by the Goal Owner, providing a framework for the regular progress review meetings.  There is no requirement to track progress by using Tasks if there is a more suitable means of doing so, but the mechanism for tracking actions during review meetings to monitor progress should be agreed at the start of the Goal period.



Expired Goals


At the end of the Goal period the Goal will move to an Expired state (unless it reverts to Draft state to allow the Goal period to be changed) and appropriate final updates and Check-ins can be made to Tasks and Key Results until the Goal is locked - typically 30 days from the Goal end date.  If it is still incomplete and it is desirable to continue with the Goal, a duplicate Goals can be created and amended as desired by the Goal Author.
